Office Administrator

The Office Administrator is at the front line of the company culture. This role is responsible for setting the tone for the office environment while assisting the People Operations Department in executing day to day company tactical and operational activities. This role is at the core of continuing to make Umbel an incredible place to work (and have fun!). A successful candidate will thrive at managing the first impression of Umbel as concierge services to all who interact with Umbel.

What You Must Do To Be Successful In This Position

Facilities

  • Primary point of contact between landlord and Umbel for anything and everything facility and property related 
  • First responder and project manager for all facilities related projects
  • Issue and track key cards and parking passes for guests and employees
  • Act as company wide Fire Warden for Umbel and tenants, managing the emergency response team, plan and process
  • Primary point of contact and facilitator for AV needs
  • Liaison for tenants that lease office space from Umbel
  • Maintain cleanliness in all common areas and conference rooms

Operations

  • Work with offsite IT support to troubleshoot immediate on the ground (or in-house) tech requests
  • Assist People Operations with execution of employee perks
  • Ensure Applicant Tracking System is kept up to date with interview candidates
  • Work with hiring managers to schedule candidate interviews
  • Assist with onboarding and offboarding for new hires
  • Other responsibilities and projects as needed

General Office

  • Open and close the Umbel office each day with flexible hours for in-house events and office needs.
  • Welcome all guests and staff to the Umbel office while managing the front desk
  • Field all incoming phone calls and transfers the calls accordingly
  • Act as the point person for all general office needs and inquiries
  • Order and stock office supplies, kitchen/pantry supplies and snacks
  • Track budget for all office related spending, including but not limited to, office supplies, general office orders, kitchen/pantry supplies, team lunches and snacks
  • Arrange catering for various Umbel events and meetings 
  • Coordinate Umbel event space rentals from external users

 
What Skills & Experience We’d Like You To Have

  • Strong passion for customer service
  • 3-5 years office or hospitality experience with desire to grow and develop within the People Operations department
  • Highly-organized with a detail-oriented mindset
  • Must be positive, friendly and professional
  • Ability to stay calm and be flexible in any situation
  • Willingness to roll up his/her sleeves and take on additional tasks and responsibilities as they arise
  • Exhibit excellent time management skills and ability to prioritize various tasks
  • Strong written and oral communication skills
  • Able to lift 30 lbs
